How does an AI voice agent work?
A call passes through a few pieces in a loop:
Speech recognition: turns the caller's words into text as they speak.
A language model: reads that text with the instructions and information you have approved, and decides what to say or do next.
Actions: connections to your calendar, CRM or phone system, so the agent can check availability, log the call or transfer it.
Speech synthesis: turns the reply back into a spoken voice.
The loop repeats every turn of the conversation. How good the agent feels depends heavily on how fast that loop runs and how well it copes with interruptions, accents and background noise.
What is the difference between a voice agent and an AI receptionist?

It is also different from an old phone tree. A phone tree makes callers press numbers to pick from fixed options. A voice agent lets them say what they need in their own words.
What do voice agents handle well?
They work best on calls that are frequent, predictable and have an approved answer:
Routine questions: hours, location, services, service area and policies.
Appointment requests: checked against a real calendar, and only called confirmed once the calendar accepts them.
Messages: name, number, reason for the call and urgency, delivered to the right person.
Routing: getting the caller to the right department or location.

Where does it need a person?
Anything that needs judgment, negotiation or care. A complaint, a complicated quote, a distressed caller or a question with legal or medical weight should go to a human. A well-built agent knows its limits and transfers or offers a callback, with the details it has already collected passed along. There should always be a route to a person.
What rules apply to recording and outbound calls?
Two are worth knowing before you switch anything on. This is general information, not legal advice.
Recording consent: some states require every party's consent. In Florida, section 934.03 permits intercepting a call when all parties have given prior consent, which is why a recording voice agent should say so at the start.
Outbound AI calls: in a declaratory ruling released February 8, 2024, the FCC confirmed that the TCPA's restrictions on "artificial or prerecorded voice" calls cover AI technologies that generate human voices. Those calls need the called party's prior express consent unless an emergency purpose or exemption applies.

What should you ask before buying one?
What will it say? Get the greeting, disclosure and approved answers in writing.
What happens when it fails? Ask about transfers, callbacks and what happens if the phone provider or calendar is down.
Where do calls go? Recordings, transcripts and messages, and how long they are kept.
How is it measured? Calls answered, calls transferred, appointment requests and response time against your current baseline.
Who fixes it? Someone has to tune the answers after launch.
